Overview

Defining requirements for an extensible patient registry for the leading nonprofit organization dedicated to autoimmune awareness, advocacy, education, and research.
Olivia Casey

Senior Director of Programs, Autoimmune Association

The Autoimmune Association was ready to graduate from a static patient registry to a sophisticated platform that would integrate surveys, communication via text and email, and dynamic data visualizations. In this discovery engagement, SoftServ collaborated with them to survey patients, interview partners, refine requirements, and ultimately create an RFP for a new registry platform. Our knowledge of associated technologies and the software development process helped set realistic criteria and timelines for the client.

Our Solution

Determine the preferences of potential users and how the platform can deliver value to them.

To build a good app, you need to build one that people will use. The Autoimmune Association recognized the need to know more about what their community values and how they prefer to engage with technology. SoftServ helped formulate a survey that went to thousands of users, providing essential feedback for project requirements.

Interview industry partners to understand a new system could improve collaboration.

It was equally important for the Autoimmune Association to develop a platform that would be an essential resource for community peers, like societies and clinical trial researchers. SoftServ team members conducted one-on-one interviews with multiple industry partners to ensure their perspective was considered in the development of a registry.

Craft final project requirements into a formal RFP for solicitation to potential software vendors.

In order for the Association to select a qualified vendor, they needed to be specific enough about requirements to receive multiple vendor proposals for comparative evaluation. SoftServ technical writers crafted an RFP, provided a list of qualified software vendors, and recommended a process and criteria for the Association to evaluate proposals.

Results

We helped the Autoimmune Association plan their application and set them up for a successful dev process.

Surveys with users and interviews with industry professionals provided important data beyond initial assumptions. SoftServ identified requirements that offered users information about their own disease, and the opportunity for the registry to become a valuable platform where they can track their own health journey.

For medical data to be useful, it needs to be frequently updated. SoftServ worked with user research results to determine what functionality would promote engagement and identify high priority requirements.

The Association knew that proactive engagement with patients was essential to keeping registry data current. SoftServ helped research the ways that various demographics prefer to interact with technology, building requirements about text messaging and email notifications into the RFP.

SoftServ collaborated with the Association to prioritize requirements that came from the results of our efforts and drafted an RFP for dissemination to potential vendors. We also researched and vetted vendors and provided a list of 20 viable service providers.
